Job Overview

Performance Excellence Partners, LLC is in search of a dedicated full-time remote Administrative Operations Coordinator to enhance our team and contribute significantly to our partnership with the United States Agency for International Development (USAID), specifically within the Office of Civil Rights (OCR), Strategic Program Operations (SPO) Division. The OCR plays a crucial role in overseeing, assessing, and ensuring compliance with laws, policies, regulations, and Executive Orders that pertain to equal employment opportunity (EEO).

Key Responsibilities:

  • Administrative Management:
    • Execute administrative management duties independently, applying relevant policies, offering advice, maintaining databases, and preparing necessary documentation while staying informed about personnel actions.
    • Compose correspondence and reports, providing guidance to management and staff regarding administrative services.
    • Participate in meetings, manage calendars, and take comprehensive notes for those requiring assistance.
    • Occasionally travel to various temporary work locations as required.
  • Supplies and Property Coordination:
    • Oversee administrative tasks related to supplies, property, and office relocations; conduct assessments of equipment and property usage while advising on administrative processes.
    • Act as the primary liaison with the USAID property and supply office.
  • Facility and Supply Administration:
    • Manage facility services and supply administration, including establishing and maintaining systems for tracking purchases and inventory, conducting inventory checks, and coordinating office transitions.
    • Provide advice to management and staff on administrative protocols.
  • Administrative Program Planning:
    • Evaluate existing programs and support both long-term and short-term administrative planning initiatives, develop procedural guidelines, and serve as the point of contact for administrative matters.
    • Formulate, interpret, and execute procedures and guidelines for the services provided by the organization.

Qualifications:

  • A Bachelor's degree along with three years of relevant professional experience; or a High School diploma with five years of relevant professional experience.
  • Ability to work remotely with minimal supervision; self-driven and motivated.
  • Willingness to travel as needed (approximately 10-15%).
  • Capability to attend occasional in-person meetings.
  • An active SECRET security clearance or the ability to obtain and maintain one, requiring U.S. Citizenship.
  • Valid CPR certification to ensure effective response in medical emergencies.
  • Extensive knowledge of administrative management principles, including space management, travel, procurement, human resources, performance management, and security.
  • Exceptional written and verbal communication skills, with the ability to engage with all organizational levels.
  • Demonstrated judgment, tact, and diplomacy in interactions with diverse stakeholders.
  • Strong attention to detail and accuracy in work, planning, and coordination.
  • Proven ability to prioritize tasks effectively under tight deadlines.
  • Excellent organizational and teamwork skills, with a collaborative approach.
  • Resourcefulness and foresight in anticipating the needs of the Bureau.
  • Proficiency in English and familiarity with Microsoft Office and Google Chrome tools.

Preferred Experience:

  • Previous experience supporting federal government agencies.
