As a vital member of our team, the Travel and Administrative Coordinator will deliver essential travel, transportation, and administrative assistance to the U.S. Agency for International Development (USAID) Bureau for Management, specifically within the Office of Management Services, Travel and Transportation Division.

Key Responsibilities

  • Assist in managing the USAID travel program, providing guidance on international travel, passport, and visa requirements.
  • Oversee the Travel and Transportation communication channels, directing inquiries to the appropriate personnel.
  • Act as a subject matter expert for the USAID passport and visa processes.
  • Interpret and clarify the documentation requirements for obtaining passports and visas.
  • Review applications and supporting documents to ensure compliance with citizenship proof for passport and visa issuance.
  • Stay informed on updates and guidance related to international travel.
  • Collaborate with foreign embassies to ensure all visa requirements are fulfilled.
  • Facilitate passport and visa requirements for employees prior to travel.
  • Coordinate with the Special Issuance Agency (SIA) to secure official and diplomatic passports.
  • Conduct quality control checks on passport and visa applications prior to submission.
  • Confirm appointments, capture passport/visa photographs, and process applications and requests.
  • Maintain a database to track passport and visa information efficiently.
  • Develop proficiency in utilizing the E2 travel system for processing travel-related documents.
  • Serve as the primary point of contact for the Travel and Transportation Division help desk.
  • Liaise with various governmental offices, including the Department of State and General Services Administration.
  • Maintain electronic and physical files in compliance with agency standards.
  • Provide administrative support including scanning, copying, and filing as necessary.
  • Prepare and maintain communication materials such as newsletters or training resources.
  • Deliver passport and visa documents to the appropriate governmental agencies.

Qualifications

  • High school diploma or GED equivalent required.
  • Minimum of 2 years of relevant experience, including:
  • Experience in a support role within government or industry.
  • Proficiency in Microsoft Office and Google Suite.
  • Familiarity with travel-related systems.
  • Experience in travel, transportation, or passport processing roles.
  • Ability to work effectively in a team environment.
  • Demonstrated capability to complete tasks independently.
  • U.S. Citizenship required.
  • Valid driver's license necessary.
  • Background check and ability to obtain USAID Facilities Access required.
