The Travel and Administrative Coordinator will deliver comprehensive travel, transportation, and administrative assistance to the U.S. Agency for International Development (USAID) Bureau for Management.

Key Responsibilities

  • Assist with the USAID travel program, providing support for international travel, including passport and visa requirements.
  • Manage the Travel and Transportation inbox, directing inquiries to the appropriate personnel.
  • Act as a subject matter expert for the USAID passport and visa processes.
  • Interpret and clarify the documentation needed for obtaining passports and visas.
  • Review applications and supporting documents for compliance with citizenship proof requirements.
  • Stay updated on international travel guidelines and regulations.
  • Collaborate with foreign embassies to ensure visa requirements are met.
  • Facilitate passport and visa processes for employees prior to travel.
  • Coordinate with the Special Issuance Agency (SIA) for official and diplomatic passport requirements.
  • Ensure accuracy in passport and visa applications before submission.
  • Confirm appointments, capture passport/visa photos, and process applications.
  • Maintain a database for tracking passport and visa information.
  • Develop proficiency in the E2 travel system for managing visa and passport applications.
  • Deliver passports and visas to travelers and serve as the primary point of contact for the Travel and Transportation Division help desk.
  • Liaise with various government offices as necessary.
  • Maintain electronic and physical files in compliance with agency standards.
  • Provide administrative support including document management and compliance checks.
  • Prepare communication materials as needed.
  • Deliver documents to the Department of State and embassies.

Qualifications

  • High school diploma or GED equivalent required.
  • Minimum of 2 years of relevant experience in a similar role.
  • Familiarity with Microsoft Office and Google Suite.
  • Experience with travel-related systems.
  • Ability to work effectively in a team environment.
  • Strong organizational skills and attention to detail.
  • U.S. Citizenship is required.
  • Valid driver's license is necessary.
  • Background check and ability to obtain USAID Facilities Access are mandatory.
