Position Summary

Dexis Consulting Group is seeking an Administrative Coordinator who will be integrated within the USAID Center for Education, Bureau for Inclusive Growth, Partnerships, and Innovation. The Coordinator will deliver essential administrative, programmatic, and operational support to facilitate the Center's functions, which support global education development initiatives through the Education Support Initiative 2 (ESI 2) institutional support contract. The Coordinator will collaborate closely with the Center's Leadership Team and primarily with the E&L Division Lead to assist in various activities that ensure the division and the Center remain aligned with their mission.

This full-time role is primarily based in the Washington, D.C. area, requiring onsite presence three days a week.

Key Responsibilities
  • Administrative and Program Support
    • Provide administrative, basic accounting, and workflow management assistance to E&L staff.
    • Coordinate scheduling and logistical support for E&L staff.
    • Ensure the smooth operation of external and internal meetings and conference calls by managing invites, organizing logistics, preparing materials, documenting minutes and actions, coordinating follow-ups, and booking facilities.
    • Assist in preparing meeting materials, including data collection and assembly.
    • Track follow-up actions from meeting outcomes and communications.
    • Coordinate travel arrangements for staff, including flights, accommodations, and necessary clearances.
    • Maintain updated contact lists and activity records.
  • Knowledge Management and Communication
    • Maintain comprehensive electronic files to ensure accessibility for colleagues.
    • Develop trackers and tables for planning and monitoring tasks, project milestones, and responsibilities.
    • Create visual communication materials for regular and ad hoc reporting and presentations.
    • Collaborate with colleagues to produce online and print communications materials to inform stakeholders of USAID's initiatives and achievements.
    • Track documents through various stages of development.
    • Assist in planning events, including conferences, training sessions, and delegations.
  • Technical Support and Reporting
    • Support E&L staff in completing various tasks, providing administrative and technical assistance as needed.
    • Work with the Division Lead to ensure effective workflow management and staff engagement in division-wide tasks and meetings.
    • Collaborate with partners and researchers to develop content for promotional materials for internal and external events.
    • Contribute to USAID Education's social media presence and blogs.
    • Prepare leadership for events and speaking engagements by developing relevant materials.
    • Prepare content for professional development opportunities for USAID staff.
    • Assist in compiling and tracking Operational Plan and Performance Plan and Report data.
    • Conduct research and contribute to technical documents for reports and briefings.
    • Provide project management support, including budget tracking and records management.
Qualifications
  • Bachelor's degree with a minimum of one year of relevant experience.
  • Ability to obtain and maintain a SECRET level security clearance.
  • Experience in providing high-quality support to dynamic teams.
  • Exceptional organizational, analytical, and problem-solving skills; detail-oriented with the ability to multitask and prioritize effectively.
  • Strong interpersonal and communication skills.
  • Excellent writing, editing, and research capabilities.
  • Ability to work independently and proactively, adapting to changing priorities.
  • Interest in international development and education, with a commitment to enhancing educational outcomes.
  • Experience in monitoring, evaluation, and learning is a plus.
  • Proficiency in Google Workspace and Microsoft Office.

Dexis offers a competitive compensation package, with a salary range for this position between $51,000 and $62,000 USD.
