OVERVIEW

At Chickasaw Nation Industries, we believe in the power of dedicated service and commitment to excellence. The Administrative Specialist is integral to the success of the United States Agency for International Development's (USAID) Office of Civil Rights (OCR), Strategic Program Operations (SPO) Division.

Located in the Washington, DC area, this role acts as a crucial liaison for Bureau personnel, both in the capital and in various field locations, ensuring efficient operations and adherence to administrative protocols.

PRIMARY RESPONSIBILITIES

The Administrative Specialist will be responsible for:

  • Administrative Support: Assisting in the execution and oversight of established administrative protocols, including travel arrangements, procurement processes, and human resources management. This role includes detailed notetaking during meetings and providing support for virtual engagements.
  • Supply and Property Management: Coordinating the administrative aspects of supply management and office relocations, ensuring efficient systems are in place for tracking and utilizing resources.
  • Facility Services Coordination: Managing basic operational services such as utilities and telecommunications, while conducting safety inspections and ensuring compliance with safety standards.
  • Program Planning Assistance: Supporting organizational planning through data analysis, budget monitoring, and preparation of reports that align with administrative goals.
QUALIFICATIONS

To be considered for this position, candidates must possess:

  • A Bachelor’s degree along with a minimum of five years of relevant experience, or an equivalent combination of education and experience.
  • Extensive knowledge of administrative management principles, including travel, procurement, and human resources.
  • Strong communication skills, both verbal and written, to effectively engage with staff and management.
  • Proficiency in office software and Google tools to facilitate collaboration and document management.
ADDITIONAL REQUIREMENTS

Candidates must be able to obtain and maintain a Secret clearance, which necessitates U.S. Citizenship. A valid CPR certification is also required to ensure readiness in medical emergencies.
