Patient Access Coordinator

The Patient Access Coordinator provides exceptional customer service to patients seeking appointments, information, and connection with staff or services. This role ensures patients have a seamless and welcoming experience during scheduling, registration, insurance enrollment, financial counseling, and telephone contact with the clinic.
Key Responsibilities- Greet and Welcome Patients
Provide a professional and timely welcome to patients, ensuring a positive first impression.
Schedule AppointmentsEfficiently schedule medical, mental health, health education, and insurance appointments, ensuring minimal wait times.
Answer Incoming CallsRespond to incoming calls in a timely and professional manner, directing callers to the appropriate individual or team.
Verify Insurance StatusRequest and verify insurance status, discussing options for those without insurance and scheduling an appointment with an insurance navigator.
Enroll Clients in Health Insurance ProgramsEnroll clients into health insurance programs, including MFPP, and manage enrollment changes.
Maintain Knowledge of Insurance PoliciesStay up-to-date on insurance policies and Affordable Care Act (ACA) rules, ensuring compliance and providing accurate information to patients.
Collect Patient InformationCollect patient demographic information, health history, and insurance information, scanning it into the Electronic Health Record (EHR).
Provide Information and Obtain SignaturesProvide patients with information regarding confidentiality, parental consent, and other pertinent information, obtaining signatures and consents as required.
Arrange Transportation and Interpreter ServicesArrange patient/client transportation to and from visits and schedule or access interpreter services when needed.
Inform Patients of Co-Pays and Outstanding BalancesInform patients of co-pays and outstanding balances due, collecting and securing payments.
Provide Information About VisitsProvide patients with information about what to expect during their visit, ensuring a smooth and stress-free experience.
Assist Patients with Accessing Their Patient PortalAssist patients in accessing their Patient Portal and encourage participation in satisfaction surveys.
Receive and Process Incoming Mail and PackagesReceive and process incoming mail and package deliveries, ensuring timely and secure handling.
Complete Opening and Closing ProceduresComplete opening and closing procedures, ensuring the lobby and bathrooms are maintained, clean, and welcoming to all patients and visitors.
Provide Services Guided by Evidence-Based PrinciplesProvide all services guided by the evidence-based principles for helping youth overcome homelessness.
Perform Other Duties as AssignedPerform other duties as assigned, ensuring a seamless and efficient experience for patients and staff.
Qualifications- Effective Communication and Interpersonal Skills
Demonstrate the ability to work and communicate effectively with people of diverse ethnic, economic, racial, and cultural backgrounds.
Education and ExperienceHigh school or GED required; one year post-high school education preferred; 2 years of medical receptionist or clinical experience preferred.
Technical SkillsExperience with Microsoft Word, Excel, and Outlook; strong customer service and phone skills with an exceptional ability to listen and communicate to others.
Attention to Detail and FlexibilityDetail-oriented, flexible, and team-oriented, with excellent verbal and written communication skills.
Insurance Payer Knowledge and Cash HandlingKnowledgeable of data privacy and confidentiality standards and protocols, with the ability to handle and manage a cash collection.
