Position Overview:
Responsible for maintaining essential systems that support patient care operations. This role involves scheduling and coordinating various appointments, procedures, and tests, while effectively managing and communicating department and provider schedules to enhance clinical operations and deliver outstanding patient experiences.
Key Position Details:
  • 1.0 FTE (40 hours/week)
  • Day shift
  • No scheduled weekends
Role Responsibilities:

Core Duties
  • Appointment Scheduling.
    • Coordinates and/or adjusts patient appointments, procedures, diagnostic tests, surgeries, and hospital admissions across multiple providers.
    • May document all scheduling activities in the electronic medical record.
    • Verifies insurance details and secures prior authorizations as necessary, may also register patients.
    • May oversee the patient outcome tool, including preparation and distribution.
    • May create, modify, and delete schedule versions and calendars to reflect changes in provider availability.
    • Arranges interpreter services for patients as required.
  • Administrative Support.
    • May handle department reception and patient check-in processes.
    • Provides telephone coverage and routes messages appropriately.
    • May track insurance verification using various systems.
    • May maintain the lobby area.
    • Ensures patient documentation is complete and manages an insurance or referral work queue.
    • Organizes and maintains department records, manuals, and patient education materials.
    • Participates in fulfilling patient data reporting requirements and ensuring compliance with regulatory standards.
    • May develop and maintain training materials for new and existing staff.
    • May assist physicians with reimbursements, expense reports, credentialing, charge capture, and medical records.
  • Chart Preparation.
    • Reviews patient records to determine if additional documents are required.
    • Ensures patient consent forms are current and updated with the patient.
    • Contacts document sources, obtains records, and scans and indexes them into the electronic medical record.
    • Other duties as assigned.
Qualifications
  • Must be at least 18 years old with the education and/or experience necessary to meet required competencies as outlined in the job description; a high school diploma or GED is preferred.
  • Post-secondary education in a medical field is preferred.
  • 2 to 5 years of experience in a medical office, including administrative support, scheduling, customer service, and familiarity with Microsoft Suite and electronic medical records is preferred.
Physical Requirements
Sedentary:
Occasional lifting of up to 10 lbs, frequent negligible weight lifting.
