Job Overview:
The Administrative Support Specialist is responsible for entering, typing, and managing information within computer systems to generate various documents including correspondences, invoices, statements, receipts, and checks.

This role involves performing standard clerical and typing functions necessary for processing diverse office materials such as template letters, requisitions, spreadsheets, flow diagrams, work papers, and mail.

The specialist ensures the accuracy and completeness of information by cross-referencing existing records, updating ledgers, and distributing equipment as needed.

Additionally, this position involves greeting visitors and assisting them with general inquiries or concerns, answering phone calls, directing inquiries, or taking precise messages.


Key Responsibilities:
Manages the entry and preparation of various documents including correspondences, invoices, statements, receipts, and checks. Conducts routine clerical tasks and typing functions essential for processing a variety of office materials such as template letters, requisitions, and mail. Verifies the accuracy and completeness of information against existing records, updates records or ledgers, and distributes equipment as necessary. Completes applications for service eligibility, ensuring all supporting documentation is secured and reviewed.

Calculates income and determines the hours of service for which clients qualify, and may issue necessary documentation for the continuation of eligibility.

Organizes and retrieves applications and records according to established procedures and filing systems. Investigates lost or missing applications or records in line with established protocols. Compiles data as required, organizes and repairs records, and files as necessary. Monitors client applications to ensure compliance with policies and procedures, and reviews policies to assess coverage. Investigates and verifies claims eligibility. Orders and distributes supplies as appropriate. Sorts and routes incoming mail; prepares outgoing mail.

Greets visitors and assists them with general inquiries or concerns, answers phone calls, directs inquiries, or takes precise messages.

Operates office equipment such as copiers and fax machines. Provides assistance and training to other clerical staff. Delivers and/or stores supplies and maintains inventory as required. Prepares flow diagrams and updates them regularly, designs spreadsheets and work papers, and conducts statistical analysis. Other duties may be assigned.

Supervisory Responsibilities
This position does not include supervisory responsibilities.

Qualifications:

Educational Requirement
A high school diploma or general education degree (GED) along with less than one year of specialized training or education.

Experience Requirement
Two (2) years of additional relevant experience is required.

Computer Skills


To succeed in this role, an individual should possess knowledge of Accounting, Database management, Internet usage, Inventory control, Spreadsheet creation, and Word Processing software, as well as Order processing and Payroll systems.

Certificates, Licenses, Registrations

A valid driver's license may be required for certain departments.

If applicable, the applicant/employee must possess a valid driver's license with a driving history that meets the Cherokee Nation underwriting standards.


Other Skills and Abilities


Typing proficiency of 35 words per minute may be required and must be verified through a typing test.

Must be capable of operating standard office machines. Must possess the ability to interact professionally and courteously with the public.

Employees must not be under sanction by the United States Department of Health and Human Services Office of the Inspector General (OIG) or by the General Services Administration (GSA), nor listed on the OIG's Cumulative Sanction Report, or the GSA's List of Excluded Providers, or the OIG's List of Excluded Individuals/Entities (LEIE).


Physical Demands


While performing the duties of this position, the employee is regularly required to use hands to manipulate, handle, or feel and to communicate verbally or audibly.

The employee is frequently required to sit. Occasionally, the employee may need to stand, walk, reach with hands and arms, and bend, kneel, crouch, or crawl. The employee may occasionally lift and/or move up to 10 pounds.

Work Environment
The noise level in the work environment is typically moderate.
