KEY RESPONSIBILITIES
• Oversee and maintain intricate calendars for multiple senior executives.
• Evaluate incoming calls, determining urgency while exercising discretion in sharing information.
• Coordinate logistics for both internal and external meetings.
• Organize and manage complex domestic and international travel arrangements.
• Plan and execute all elements of offsite conferences and external events, including catering and transportation logistics.
• Process invoices and travel & expense claims for team members, ensuring adherence to policies and timely processing. Serve as a subject matter expert on relevant policies and procedures.
• Collaborate effectively with the administrative support team, fostering a positive partnership to ensure seamless operations.
REQUIREMENTS
• Minimum of 5 years of experience as an Executive Administrative Assistant in the Financial Services or Corporate sector.
• Proven experience supporting executives at the Managing Director level or higher.
• Expertise in managing calendars for high-ranking executives and teams.
• Familiarity with Concur for Travel & Expense management, particularly in handling significant client entertainment expenses.
• Proficient in Microsoft Office Suite (Outlook, Teams) and Zoom for coordinating internal meetings.
• Exceptional telephone etiquette and the ability to juggle competing priorities, particularly in calendar management.
• Discretion and sound judgment in handling confidential matters, with a track record of interacting with senior management.
• Strong interpersonal, written, and verbal communication skills.
• A college degree is considered an advantage.
