Job Overview:


The Administrative Support Associate II operates under general oversight, providing assistance in various moderately complex administrative functions for a department, program, or clinic.

This role involves fostering collaborative relationships and maintaining effective communication with other departments and Medical Center personnel. The associate is responsible for addressing issues to enhance customer service and aids in organizing the leadership's schedule while ensuring accurate time management.

Additional duties encompass gathering information, developing spreadsheets, drafting communications, and preparing written documents utilizing Microsoft Word, Excel, and other software applications.


Qualifications:
A high school diploma or GED equivalent is required, along with a minimum of one year of relevant experience. An associate's degree is preferred.

Key Responsibilities:
- Manage the calendars of leadership or departments, including scheduling appointments, organizing meetings, coordinating departmental activities, and arranging travel.
- Organize facilities and audiovisual equipment as necessary, facilitating the operational aspects of the department, program, or clinic.
- Screen and direct incoming calls, take messages, and route calls according to established procedures, using discretion to address concerns and escalate issues to the supervisor when needed.
- Prepare routine to moderately complex correspondence, agendas, proposals, course materials, schedules, articles, meeting minutes, reports, and other documentation, ensuring accuracy and proper formatting.

- Provide information for special reports or projects by researching files and records, retrieving stored data, compiling data, and presenting it in a usable format, such as graphs, tables, and charts.

- Assist with financial duties related to business operations, including tracking accounts, generating financial reports, and supporting budget preparation.
- Prepare, process, and maintain operational records, such as payroll, purchasing, and requisitions.
- Organize work activities to ensure timely completion.
- Resolve issues to enhance customer service.
- Create and maintain accurate filing systems.
- Facilitate communication within the department.
- Manage inventory and supplies for the department, program, or clinic.
- Perform other related duties as assigned.

Skills and Competencies:
- Exceptional oral and written communication abilities.
- Proficient in Microsoft Office and PeopleSoft.
- Strong organizational skills with a keen attention to detail.
- Ability to work effectively with numerical data and statistics.
- Excellent customer service skills and the ability to maintain confidentiality.

Work Environment:
A clean, well-lit, and comfortable office setting that may experience interruptions.
