About the Opportunity

We are seeking a highly skilled Business Operations Coordinator to provide administrative and functional support to our Operations Department. This role will be responsible for administering the day-to-day fleet operations of Builders Mutual, ensuring seamless execution and optimal performance.

Key Responsibilities
  • Administrative Support
    • Perform a variety of administrative duties, including handling confidential and sensitive information.
    • Provide routine assignments and projects, ensuring timely completion and high-quality results.
  • Fleet Operations
    • Administer day-to-day fleet activities, including incident reporting, license plate and registration renewals, and vehicle maintenance.
    • Review and update gas cards, driver inspection reports, and vehicle scheduling.
    • Lead new driver on-boarding and coordinate vehicle replacements and purchases.
  • Policy Compliance and Reporting
    • Administer policy compliance and reporting, including documentation of all expenses and income for fleet.
  • Meeting and Event Coordination
    • Schedule meetings and appointments for designated senior leaders, interacting with all levels of management in home office and field.
    • Coordinate registration and travel for meetings and conferences.
  • Expense Management
    • Utilize Concur to record and process individual expenses, corporate invoices, and other departmental expense-related items.
  • Departmental Events and Projects
    • Plan, coordinate, and oversee departmental events, special projects, programs, and team building events.
Requirements
  • Education and Experience
    • Bachelor's degree in business administration or a related discipline.
    • Minimum of five years' experience supporting senior-level management or an equivalent combination of education and experience.
  • Skills and Abilities
    • Advanced knowledge of MS Word, Excel, PowerPoint, and Scheduling programs.
    • Attention to detail and strong organizational skills.
    • Excellent judgment, independence, and initiative in performing diverse sets of support functions.
    • Ability to prioritize tasks and respond quickly to changing priorities.
    • Excellent communication skills, both written and oral.
    • Ability to handle sensitive and confidential information with discretion.
