Administrative Operations Specialist II

Under general supervision, the Administrative Operations Specialist II plays a crucial role in managing a variety of moderately complex administrative tasks for a department or program.
This position is essential in fostering collaborative relationships and maintaining open communication with various departments and stakeholders. The specialist will address issues to enhance customer service and assist in organizing the leadership's schedule while ensuring accurate calendar management.Key Responsibilities:- Manage departmental calendars, including scheduling appointments, organizing meetings, and coordinating travel arrangements.
- Facilitate operational logistics for the department or program, ensuring all necessary resources, including facilities and audiovisual equipment, are available.
- Screen and direct incoming calls, take messages, and route communications in accordance with established procedures.
- Prepare a range of correspondence, agendas, proposals, and reports, ensuring accuracy and adherence to formatting standards.
- Conduct research and compile data for special reports or projects, presenting information in an accessible format, such as charts and graphs.
- Assist with financial tracking and reporting, providing support for budget preparation and maintaining operational records.
- Organize and prioritize work activities to meet deadlines and enhance departmental efficiency.
- Maintain accurate filing systems and manage inventory and supplies for the department.
- Perform additional related duties as assigned.
Applicants should possess a high school diploma or GED equivalent, with a preference for candidates holding an associate's degree and at least one year of relevant experience.
Skills Required:- Exceptional oral and written communication abilities.
- Proficiency in Microsoft Office Suite and PeopleSoft.
- Strong organizational skills with meticulous attention to detail.
- Ability to work effectively with numerical data and statistics.
- Demonstrated customer service skills and the capacity to maintain confidentiality.
The role is situated in a clean, well-lit office environment, where interruptions may occur.
