Role Summary:
- As an Administrative Coordinator, you will play a pivotal role in facilitating the operations of the Executive Director and ensuring effective communication across various departments.
- Your contributions will be vital in managing schedules, organizing meetings, and maintaining efficient workflows.
- Oversee the Executive Director's calendar, addressing scheduling conflicts and ensuring all meetings are technically feasible.
- Manage team communications and filter correspondence to prioritize urgent matters.
- Handle expense reports for the Executive Director in a timely manner.
- Assist in organizing meetings, both in-person and virtual, ensuring all logistical needs are met.
- Support travel arrangements for the Executive Director as required.
- Maintain updated organizational charts and communication lists to enhance team collaboration.
- Prepare meeting agendas, document minutes, and follow up on action items to ensure accountability.
- Collaborate with other administrative professionals to ensure coverage during absences.
- High School diploma with five years of relevant experience, or an Associate degree with two years of experience, or a Bachelor's degree.
- Experience in fast-paced environments and managing diverse teams across different time zones.
- Strong organizational skills with a focus on quality and detail.
- Proficient in MS Office 365, including Outlook, Excel, PowerPoint, and Teams.
- Excellent verbal and written communication abilities.
- Ability to adapt and thrive in ambiguous situations.
- Poor communication skills, both written and verbal.
- Inability to work collaboratively within a team.
