Position Overview

The Commercial and Movement Strategy (CMS) and Business Operations team is seeking a Senior Administrative Coordinator to provide essential administrative support and project management. CMS is a vibrant team and a pivotal growth area for Visa. We are in search of candidates who consistently demonstrate high achievement, professionalism, reliability, and exceptional organizational abilities.

Key Responsibilities

Administrative Support:

  • Calendar Management: Assist in organizing the team's schedules, including arranging meetings and conference calls while proactively resolving any conflicts.
  • Expense Management: Handle expense reports for the team, manage purchasing cards, and oversee the procurement of supplies and equipment.
  • Meeting Coordination: Manage room bookings, conference call setups, AV requirements, and catering arrangements.
  • Travel Arrangements: Organize and modify travel plans, including flights, accommodations, and transportation, while ensuring all travel details are documented and expense reports are submitted promptly.
  • Liaison: Communicate and collaborate with a diverse range of Visa professionals on behalf of the department, facilitating smooth administrative processes across the team.

Project and Functional Coordination:

  • Project Management: Assist in managing the team's calendar and support project coordination as required.
  • Event Support: Contribute to the planning and execution of team meetings and employee engagement events, ensuring all logistics are in place.
  • Training Program Support: Aid the team in logistics and communication for training programs, documenting participation as necessary.
  • Business Process Support: Assist with functional documentation, risk assessments, and other operational needs.

Work Environment

This is a hybrid role, allowing employees to alternate between remote and office work. Hybrid employees are expected to be in the office 2-3 days a week, based on business requirements.

Qualifications

Basic Qualifications:
* At least 6 months of relevant work experience or a Bachelor's Degree.

Preferred Qualifications:
* 2 or more years of relevant work experience.
* A minimum of a B.A./B.S. degree.
* Advanced proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).
* Ability to thrive in a dynamic environment with time-sensitive assignments.
* Strong partnership skills to work effectively with all levels of management.
* Highly organized, detail-oriented, and proactive in problem-solving.
* Exceptional project management skills and strong written and verbal communication abilities.

Additional Information

Work Hours: Varies based on departmental needs.

Travel Requirements: This position may require occasional travel (5-10%).

Mental/Physical Requirements: The role will be performed in an office setting, requiring the ability to sit and stand at a desk, communicate effectively, and operate standard office equipment.
