Job Overview

Position: Executive Support Administrator

As an Executive Support Administrator, you will play a crucial role in providing comprehensive administrative assistance to the President/CEO, VP Project Manager/Executive Assistant, and the Executive Team. Your responsibilities will encompass a variety of tasks including scheduling, utilizing Microsoft Office applications, managing special projects, and addressing member inquiries.

Key Responsibilities:

  1. Prepare correspondence and reports for the President/CEO, Executive Team, Board Officers, and Board Committees.
  2. Maintain communication with the President/CEO and Executive Team regarding member complaints, phone calls, and correspondence.
  3. Screen and manage incoming communications for the President/CEO, ensuring messages are directed to the appropriate personnel and responded to promptly.
  4. Assist in the coordination and updates of policies and strategic plans, ensuring annual re-approval by the Board with proper tracking of approvals and amendments.
  5. Schedule and arrange appointments, meetings, and business travel for the President/CEO, Executive Team, and Board of Directors.
  6. Perform specialized and confidential administrative tasks, including data research and report preparation as required.
  7. Document and compile detailed minutes of all Board of Directors' meetings and committee sessions to comply with regulatory standards.
  8. Assist in the preparation and distribution of materials for Board meetings, including agendas, financial documents, minutes, and committee reports via the Board Portal.
  9. Coordinate logistics for special meetings and social events for the Credit Union.
  10. Fulfill additional duties as assigned.

Compliance: It is essential to understand and adhere to all applicable federal, state, and local regulations, including but not limited to: The Bank Secrecy Act, Office of Foreign Assets Control (OFAC), Financial Crimes Enforcement Network (FinCEN), Uniform Commercial Code (UCC), Federal Reserve Bank, MA Division of Banks (DOB), and National Credit Union Administration (NCUA).

Additional Duties: Order necessary supplies for the Executive Team and Credit Union staff.

Note: Banking or Credit Union experience is preferred but not mandatory.
