Overview
The Medical Front Desk Receptionist plays a crucial role in supporting the administrative functions of our practice. This position is responsible for maintaining an organized office environment, assisting the Office Manager, and ensuring a welcoming atmosphere for patients and their families. The ideal candidate will deliver compassionate and informative service while managing patient communications, documentation, and phone inquiries.

This is a full-time position requiring 40 hours per week, reporting directly to the Office Manager.

Key Responsibilities

  • Assist patients and referring providers in person and via phone, directing inquiries to the appropriate personnel.
  • Verify patient eligibility and insurance coverage prior to appointments.
  • Obtain necessary referrals or insurance authorizations before patient visits.
  • Maintain accurate patient accounts by updating personal and financial information for proper billing.
  • Organize and manage the office filing system, ensuring easy retrieval of patient records.
  • Welcome patients upon arrival, assist with check-ins, and collect insurance information and other required data.
  • Provide intake and new patient forms to patients.
  • Offer support and guidance to patients as needed.
  • Ensure coverage until the practice closes or the last patient has departed.
  • Coordinate the flow of patient appointments in collaboration with clinical staff.
  • Manage patient expectations during any delays.
  • Safeguard patient rights by maintaining confidentiality of medical, personal, and financial information.
  • Ensure compliance with all HIPAA regulations.
  • Collect co-pays, co-insurance, and past due balances at the time of service; establish payment plans as necessary.
  • Schedule initial and follow-up appointments for physicians, clinicians, and ultrasound labs.
  • Complete additional projects as assigned.
Qualifications
  • High School diploma required; Associate's or Bachelor's degree preferred.
  • Minimum of 1 year of administrative support experience; experience in a healthcare setting is preferred.
  • Familiarity with multi-line phone systems.
  • Ability to maintain professionalism in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite is preferred.
  • Willingness to be available for local and/or regional assignments as necessary.
  • Knowledge of HIPAA, Medicare, and commercial insurance is preferred.
  • Ability to manage multiple tasks effectively in a busy medical environment.
