Allied Universal, a leader in the private security industry, is seeking a dedicated human resources professional to take on the role of Onboarding Coordinator for our new employees.

This position is office-based.

The Onboarding Coordinator will play a pivotal role in the New Employee Orientation (NEO), serving as the initial introduction for new hires at Allied Universal. This position is essential in establishing a positive foundation for the security professional journey and marks the beginning of the Security Professional Onboarding and Development program.

Key Responsibilities:

  • Prepare for daily New Employee Orientation (NEO); ensure the training room is equipped with necessary materials (welcome packets, drug test kits, Chromebooks, headphones, pay cards, etc.) for a successful orientation.
  • Facilitate NEO; review welcome kits, verify Form I-9 documentation, and administer drug tests.
  • Initiate onboarding documentation through the Applicant Tracking System (ATS) (e.g., iCIMS).
  • Complete the employer section of Form I-9 documentation.
  • Update iCIMS to ensure all required iForms are finalized.
  • Advance new hires in WinTeam (WT).
  • Update necessary fields in WT.
  • Input compliance codes.
  • Set up direct deposit information.
  • Ensure new hires complete orientation, including three lessons and a final assessment.
  • Process rehires in WT; update employee records as needed.

Qualifications:

  • High School diploma or equivalent.
  • Previous experience in a professional administrative setting.
  • Able to concentrate and manage multiple tasks in a dynamic environment.
  • Capable of handling high-pressure situations with composure and professionalism.
  • Strong management skills; able to coordinate with diverse team members and motivate them to achieve optimal performance.
  • Proficient in all Microsoft Office applications and adept at utilizing office management technology.
  • Ability to take initiative, prioritize competing tasks, and meet deadlines effectively.

Preferred Qualifications:

  • College degree in business, human resources, or a related field.
  • Experience in human resources and/or recruitment.
  • Familiarity with iCIMS or other Applicant Tracking Systems.
  • Experience with WinTeam or similar Human Resources Information Systems.
  • Knowledge of DOMO or other business intelligence tools.
