Job Title: Administrative Assistant

We are seeking a highly organized and detail-oriented Administrative Assistant to support our executive team. As a key member of our team, you will be responsible for providing administrative support, coordinating meetings and events, and ensuring the smooth operation of our office.

Key Responsibilities:
  • Manage executives' schedules and appointments, including scheduling client appointments and checking clients in for CSO
  • Provide logistical and organizational support for meetings, internal trainings, and external presentations
  • Coordinate travel arrangements for Officers, staff, and guests, including scheduling, travel arrangements, and day-of activities
  • Monitor email, voicemail, and mail when the Director is out of the office, responding to urgent requests and organizing responses for the Director's return
  • Draft and/or format various business communications, including emails, letters, and documenting processes for The Emily Program and external programs
  • Handle highly confidential materials, ensuring privacy is maintained
  • Prepare meeting agendas and/or presentations, attend and take notes in meetings, and distribute minutes, including for TEP Board of Directors Meetings
  • Collect receipts and submit monthly expense reports
Requirements:
  • High school diploma, required
  • 2+ years of administrative support experience at a Director level or above, required
  • Significant experience using Word, Excel, PowerPoint, and MS Outlook, with the ability to learn other applications
  • Strong customer service skills and experience, strongly preferred
