Key Responsibilities:

A. Pre-Employment Process

  • Ensure compliance of all documentation associated with applications.
  • Coordinate with Hiring Managers regarding necessary paperwork.
  • Verify the validity of Driver Licenses and insurability.
  • Input candidate information into the HR system.
  • Review drug and background screening results.
  • Communicate candidate status to Hiring Managers.
  • Follow up on candidate progress with managers.

B. Onboarding

  • Facilitate new hire information transfer to hiring managers.
  • Request necessary forms from hiring managers.
  • Schedule onboarding sessions with new hires.
  • Guide new hires on required documentation.
  • Conduct E-Verify checks.
  • Assist new employees with pre-employment paperwork.
  • Set up employee profiles in various HR systems.
  • Organize employee files in the HR database.
  • Create identification badges for new employees.

C. Employee Changes and Terminations

  • Process signed change forms from managers.
  • Update pay plans and job descriptions in the HR system.
  • Manage payroll change requests.
  • Issue new identification badges as needed.
  • Adjust access permissions for employees.
  • Organize termination documentation.

D. Family and Medical Leave Administration

  • Assist in managing legally required paperwork.
  • Notify employees of medical payment deadlines.
  • Track leave days using designated spreadsheets.

E. Recruitment

  • Post job advertisements.
  • Source and screen resumes.
  • Engage with managers for feedback on candidates.
  • Participate in job fairs.

F. Workers' Compensation

  • Ensure compliance with claims processes.
  • Assist in filing claims and follow-ups.
  • Maintain regular contact with injured employees.

G. Employee Access Management

  • Create employee email accounts.
  • Grant access to necessary systems for new hires.

H. Reporting

  • Compile weekly overtime reports.
  • Update candidate status reports.
  • Generate new hire updates.

I. Monthly Responsibilities

  • Maintain and compare new hire lists.
  • Coordinate benefit meetings.
  • Track performance standards and anniversaries.

J. Quarterly Duties

  • Review DMV notices.
  • Purge outdated I-9 forms.

K. Employee Relations

  • Assist in fostering positive employee relations.
