Administrative Support Specialist I - Physician Assistant Studies

Wayne State University is seeking a qualified Administrative Support Specialist I - Physician Assistant Studies to join its dedicated team.

Key Responsibilities:

POSITION OBJECTIVE
Assist professional, administrative, and management staff by coordinating personnel, financial, and operational activities within a department, School, College, Division, or Center/Institute of the University to achieve established goals and objectives. This role requires specialized skills developed through relevant training and experience.

Core Duties:
- Aid in the planning, development, and management of the unit's operating budget. Reconcile various accounts and monitor revenue and expenditure statuses. Prepare statistical reports and analyses related to budget activities.
- Oversee the collection, preparation, and processing of personnel and payroll actions; maintain an accurate recordkeeping system; interpret and apply university policies and procedures. May have signatory authority on specific documents.
- Supervise clerical and technical staff, including full-time and part-time employees. Conduct interviews, recommend hiring, and manage training programs. Assign work tasks and monitor workflow.
- Coordinate the use of facilities and services, including leasing and maintenance requests. Collaborate with university personnel to resolve issues.
- Serve as a resource for faculty, staff, students, and the public; respond to inquiries and resolve routine operational problems. May represent the unit to other university departments and external organizations.
- Participate in special projects and studies, collecting and analyzing data for reporting purposes. Prepare reports with conclusions and recommendations for administrative challenges.

Unique Responsibilities:

The Administrative Support Specialist will:
- Develop and implement efficient computer-based processes for data collection and reporting.
- Maintain databases related to assessment data and ensure compliance with accreditation standards.
- Ensure the integrity of sensitive data.
- Supervise clerical and technical staff, providing guidance and training.
- Coordinate facility usage and service requests, interfacing with relevant university personnel.
- Act as an information source for various stakeholders, addressing inquiries and resolving issues.
- Engage in special projects, collecting data and preparing reports with actionable insights.

Qualifications:

- A degree from an accredited institution or equivalent experience is preferred.
- Familiarity with university personnel processing procedures is advantageous.
- Basic knowledge of accounting principles and bookkeeping is beneficial.
- Strong communication skills are essential.
- Ability to work under pressure and meet deadlines is required.
- Supervisory experience is preferred.
- Previous experience in clerical or secretarial roles is typical.

Preferred Qualifications:

The ideal candidate may also possess:
- Experience with data management and database systems.
- Proficiency in Microsoft Excel.
- Comfort with learning new software systems.
- Attention to detail and a sense of ownership in their work.
- A proactive and innovative approach to tasks.

Employment Details:

- Job Type: Regular Employee, Fractional Time, Staff/Administrative
- Compensation: Annual Salary, with a salary range of $21 to $26 per hour.

Working Conditions:

This position is subject to a collective bargaining agreement and may be filled by a qualified bargaining unit member.
