Position Overview: The HR Administrative Specialist delivers extensive administrative support to the Human Resources department. This role will assist in the execution of HR programs and initiatives, contributing to the achievement of specific objectives of the HR Office and the institution. The position may involve special projects as needed. Key Responsibilities:
- Provides employee support and information on a variety of human resources matters, including payroll, benefits, and policies;
- Handles customer service tasks by responding to employee inquiries in person, via phone, or through email;
- Offers administrative support to the Chief Human Resources Officer;
- Verifies I-9 documentation and collects onboarding paperwork;
- Assists in the creation of newsletters and other communications for the campus community;
- Organizes and maintains employee personnel files and records;
- Performs clerical duties such as photocopying, faxing, and other administrative tasks;
- Processes departmental mail;
- Creates, maintains, and archives human resources records;
- Generates various reports and documents to provide current personnel information;
- Collaborates with staff to foster a positive employee relations environment;
- Assists in conducting employment verifications and reference checks;
- Orders and maintains an adequate supply of office equipment and materials;
- Answers the main telephone line;
- Conducts data entry and electronic file management.
- Associate's degree or equivalent experience is required;
- A minimum of two years of office experience is required, with two years in human resources preferred;
- Demonstrated reliability and good attendance;
- Ability to effectively engage with a diverse population of clients;
- Strong organizational skills with the ability to manage multiple tasks simultaneously and meet deadlines;
- Ability to maintain confidentiality and handle sensitive information;
- Excellent oral and written communication skills, with the capacity to manage conflicts and employee concerns;
- Ability to adapt to frequent interruptions and shifting priorities;
- Proficiency in MS Office applications, including Word, Excel, Access, Publisher, and PowerPoint is required; familiarity with Colleague software is a plus.
This position operates within a professional office and academic environment. The typical noise level is moderate, with occasional exposure to outdoor weather conditions. PHYSICAL DEMANDS:
The physical requirements outlined here are representative of those that must be met by an employee to successfully perform the essential functions of this role. While executing the duties of this position, the employee is regularly required to remain stationary, utilize a computer and other office equipment, and communicate effectively in person, by phone, and virtually. Frequent interaction with staff, faculty, students, and external parties is expected.
