Role Summary:

The NSO Administrative Specialist plays a crucial role in delivering outstanding customer service and administrative assistance within NSO integrated clinics. This position encompasses a variety of responsibilities aimed at enhancing clinic efficiency, such as addressing client inquiries, managing documentation, scheduling appointments, and troubleshooting facility concerns. Ideal candidates will possess excellent communication, organizational, and time management abilities.

Key Responsibilities:

  • Handle incoming calls, correspondence, and requests
  • Welcome clients, patients, and visitors
  • Facilitate check-in processes and verify insurance information
  • Process co-payments and manage account balances
  • Sort and distribute mail and messages
  • Coordinate meetings and manage room bookings
  • Send reminders for appointments and assist with documentation scanning/uploading
  • Manage referrals, medical records, and authorization processes
  • Perform administrative tasks such as filing and faxing
  • Address facility-related issues and oversee invoice management

Education Requirements: High School Diploma or equivalent

Experience Requirements: Minimum of 1 year in an administrative or client-facing role

Additional Qualifications:

  • Proficient in MS Office and familiar with standard office equipment
  • Ability to adapt to new software applications
  • Experience with data entry and multi-line phone systems
  • Possession of a valid Michigan Driver's license
