The Reception Operations Specialist plays a pivotal role in creating a welcoming environment for visitors. This position encompasses a variety of responsibilities including managing incoming and outgoing communications, coordinating office functions, and supporting various administrative tasks as required.

Key Responsibilities:

  • Welcome and assist guests upon their arrival at the facility.
  • Guide visitors to the correct personnel and office locations.
  • Handle incoming phone calls, providing information and directing calls as necessary.
  • Maintain a clean and organized reception area, ensuring all essential materials are available.
  • Deliver accurate information to guests both in-person and through electronic communication.
  • Manage daily mail and package deliveries efficiently.
  • Ensure office security by adhering to safety protocols and monitoring access through the reception area.
  • Order and maintain inventory of front office supplies.
  • Update and manage database records as needed.
  • Perform additional clerical tasks such as filing, photocopying, and faxing.

Education and Experience:

  • High School Diploma or equivalent is required.
  • At least one year of experience in a customer service role, preferably within a healthcare or medical setting, or a combination of education and relevant experience.
