The Reception Operations Specialist plays a pivotal role in our office environment, responsible for providing a warm welcome to visitors, managing incoming and outgoing correspondence, and facilitating communication within the organization. This position requires strong organizational skills and the ability to multitask effectively.

Key Responsibilities:

  • Welcome and assist guests upon their arrival at the office.
  • Guide visitors to the appropriate personnel and departments.
  • Handle incoming phone calls, screening and directing them as necessary.
  • Maintain a clean and organized reception area, ensuring all necessary materials are available.
  • Provide accurate information to visitors and callers in a professional manner.
  • Sort and distribute daily mail and deliveries efficiently.
  • Ensure office security by adhering to safety protocols and managing access through the reception area.
  • Manage inventory of front office supplies and place orders as needed.
  • Update and maintain the database as required.
  • Perform various clerical tasks, including filing, photocopying, and faxing.
  • Undertake additional responsibilities as assigned.

  • Proficient in Microsoft Office Suite.

Educational Background:

  • High School Diploma or equivalent is required.
  • A minimum of one year of experience in a customer service role, preferably within a healthcare or medical setting, or a suitable combination of education and experience.
