The Reception Operations Specialist plays a pivotal role in our organization, serving as the first point of contact for visitors and clients. This position encompasses a variety of responsibilities, including managing incoming communications, coordinating office logistics, and maintaining a welcoming environment.

Key Responsibilities:

  • Welcome and assist guests upon their arrival at the facility.
  • Guide visitors to the appropriate personnel and office locations.
  • Handle incoming phone calls, screening and directing them as necessary.
  • Maintain a clean and organized reception area, ensuring all necessary supplies are available.
  • Provide accurate information to visitors and callers, both in-person and through electronic communication.
  • Manage the sorting and distribution of daily mail and packages.
  • Ensure office security by adhering to safety protocols and monitoring access through the reception area.
  • Order and maintain inventory of front office supplies.
  • Update and manage databases as required.
  • Perform various clerical tasks, including filing, photocopying, and faxing.
  • Execute additional duties as assigned.
