Role Summary
We are in search of a detail-oriented and proactive individual to fill the role of Administrative Coordinator / Office Manager. This position is essential for maintaining the efficient operation of our organization, particularly focusing on the administrative functions of our General Contracting division. The ideal candidate will manage various office responsibilities, support corporate events, and facilitate effective communication across departments.

Key Responsibilities:

1. Meeting Coordination and Reporting:
- Compile and present quarterly objectives for Roers General Contracting.
- Organize and facilitate meetings, ensuring all logistics and communications are handled effectively.

2. Office Management:
- Supervise office supply inventory and ordering processes.
- Ensure the office environment is organized, including the management of office equipment and supplies.

3. Communication Management:
- Maintain and oversee email distribution lists to enhance team communication.
- Organize and refresh office display slides with pertinent staff and project updates.

4. Travel and Event Planning:
- Coordinate travel arrangements and maintain the travel calendar for RGC.
- Plan corporate events such as celebrations and community outreach activities.
- Manage onboarding logistics for new hires, including travel and accommodation arrangements.

5. Administrative Support:
- Draft and revise job descriptions for various roles within the organization.
- Assist with coding and administrative tasks related to billing processes.
- Manage incoming mail and packages, focusing on items specific to RGC.

6. Staff Engagement and Events:
- Organize and execute staff events, including social gatherings and recognition celebrations.
- Collaborate with HR and other departments to replicate successful corporate events.

Qualifications:

- Strong organizational and communication skills.
- Proficiency in Microsoft Office Suite, especially PowerPoint and Excel.
- Experience in scheduling, calendar management, and travel coordination.
- Ability to prioritize tasks effectively and manage multiple responsibilities.
- Familiarity with platforms such as Amazon and Yardi is advantageous.

Additional Information:

This position plays a vital role in ensuring the seamless operation of our administrative functions, particularly within the General Contracting division at Roers. The selected candidate will act as a key contact for communication, reporting, and event coordination, ensuring that both routine tasks and special projects are executed efficiently. Additional tasks and responsibilities may be assigned as necessary.
