Position Overview: This role is responsible for overseeing the administration and operational functions of the People and Culture Office while providing executive support to the Vice President and departmental leaders. Additionally, this position plays a crucial role in supporting human resources initiatives and managing departmental activities.

Compensation: Salary range: $65,000 - $75,000, commensurate with experience.

Key Responsibilities:

Operations Management and Program Support (50%):

  • Manage daily operations of the Vice President's office and the People and Culture department, ensuring alignment with departmental objectives.
  • Act as the primary contact for the People and Culture Office, liaising with university partners, external stakeholders, and board members.
  • Collaborate with the Vice President and the internal communications team to develop strategies for sensitive HR communications.
  • Identify challenges, gather relevant information, and propose solutions based on best practices.
  • Facilitate the implementation of new HR initiatives and assess their impact on relationships and processes.
  • Assist in planning and coordinating training sessions in collaboration with the Diversity, Equity, and Inclusion Specialist.
  • Support the administration of annual merit increases and incentive programs.
  • Serve as a backup for personnel transactions and payroll processing.
  • Manage inquiries directed to the People and Culture department, ensuring timely and appropriate responses.

Administrative and Budget Management (40%):

  • Ensure administrative processes align with departmental goals and comply with university policies.
  • Oversee the scheduling and logistical arrangements for the Vice President's activities and travel.
  • Coordinate departmental meetings, including agenda preparation and communication on behalf of leadership.
  • Compile and prepare reports related to departmental initiatives for presentation at executive meetings.
  • Generate financial and activity reports to analyze departmental performance.
  • Assist in the annual budget planning process and identify financial opportunities and challenges.
  • Monitor daily expenditures to ensure compliance with budgetary guidelines.
  • Organize and maintain confidential files, ensuring legal compliance.
  • Prepare and proofread documents and proposals, maintaining accuracy and professionalism.
  • Keep the organizational chart updated.

Talent Management System Administration (10%):

  • Collaborate with the Senior HR Generalist to manage the Integrated Talent Management System.
  • Administer annual processes including goal setting, performance management, and succession planning.
  • Maintain learning modules in partnership with the Director of Organizational Development.
  • Act as a liaison between the software vendor and the university.

Qualifications:

  • Bachelor's degree in business, administration, or a related field, with a minimum of 2 years of administrative experience or equivalent education and experience totaling 6 years.
  • Proficient in Microsoft Office Suite, including advanced skills in Word, PowerPoint, and Excel.
  • Strong customer service orientation and ability to engage effectively with others.
  • Excellent problem-solving, research, and critical thinking skills.
  • Ability to handle sensitive information with integrity and confidentiality.
  • Exceptional organizational and prioritization skills with attention to detail.
  • Strong written and verbal communication skills.

Preferred Qualifications:

  • Experience in providing executive-level administrative support.
  • Familiarity with talent management systems.
  • Experience in a non-profit or philanthropic environment.
