Position Summary:

The Office Manager / Bookkeeper will be instrumental in overseeing our daily administrative functions and ensuring the precision of our financial documentation. This role demands a detail-oriented individual with strong organizational capabilities who can efficiently juggle multiple responsibilities. The ideal candidate will possess experience in both office management and bookkeeping, specifically in Accounts Payable (AP) and Accounts Receivable (AR).

Key Responsibilities:

Office Management:

  • Oversee general office operations, including answering phone calls, managing mail, ordering supplies, and maintaining office equipment.
  • Provide administrative assistance to the management team, which includes scheduling meetings, preparing reports, and managing correspondence.
  • Ensure office organization and cleanliness to foster a productive work environment.
  • Assist with human resources tasks such as onboarding new hires, maintaining employee records, and organizing company events.

Bookkeeping:

  • Maintain precise financial records utilizing accounting software.
  • Process accounts payable (AP) by entering and settling vendor invoices.
  • Manage accounts receivable (AR), which includes invoicing clients and following up on overdue payments.
  • Reconcile bank statements and verify the accuracy of financial transactions.
  • Assist in the preparation of monthly, quarterly, and annual financial reports.
  • Support the development of budgets and forecasts.
  • Collaborate with external accountants during audits and tax preparation.

Qualifications:

  • Demonstrated experience as an Office Manager, Bookkeeper, or in a comparable role.
  • Proficiency in accounting software (e.g., QuickBooks) and MS Office Suite (Word, Excel, Outlook).
  • Strong grasp of fundamental bookkeeping principles and practices.
  • Exceptional organizational and time-management skills.
  • Ability to manage confidential information with discretion and professionalism.
  • Excellent communication skills, both written and verbal.
  • Meticulous attention to detail and accuracy in financial record-keeping.

Preferred Qualifications:

  • Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • Experience in a manufacturing setting.
  • Familiarity with payroll processing and HR functions.
