Position Overview

As an Executive Administrative Coordinator, you will play a pivotal role in supporting our senior executives by managing a variety of administrative tasks that ensure smooth operations within the organization.

Key Responsibilities

· Oversee and prepare expense reports, utilizing the Concur system for efficient processing.

· Manage complex scheduling and maintain calendars through Outlook, ensuring that executives remain on track.

· Screen and relay detailed messages, handling calls with professionalism and redirecting as necessary.

· Assist in the creation of newsletters and various correspondence.

· Coordinate quarterly Town Hall meetings, providing technical support for video setup and streaming.

· Perform general administrative tasks, including filing, ordering office supplies, and arranging lunches and messenger services.

· Organize domestic and international travel, including transportation, hotel bookings, and other accommodations.

· Aid in the preparation of presentations for executive meetings.

· Support talent planning initiatives and manage the internship program, ensuring interns are equipped with necessary technology and access.

· Communicate on behalf of executives with global teams, maintaining a professional standard.

· Assist with various special projects as assigned.

Qualifications
  • Minimum of 5 years of experience in a corporate setting providing administrative support at an executive level.
  • Ability to handle confidential matters with professionalism, discretion, and sound judgment.
  • Strong organizational skills with a keen attention to detail, while maintaining an understanding of broader objectives.
  • Exceptional communication and writing abilities.
  • Demonstrated follow-up and follow-through skills.
  • Proactive and resourceful approach to problem-solving.
  • Ability to manage tasks and projects independently.

The anticipated base salary range for this position is $50.75 per hour. The exact salary will depend on various factors including experience, skills, education, and budget considerations. This role is also eligible for a competitive bonus program based on performance and company results.
