Job Summary

Key Responsibilities
  • Greet patients and visitors in a prompt and courteous manner, ensuring a positive first impression of our practice.
  • Answer telephone calls, screen, and direct calls, taking messages and providing information to patients and visitors.
  • Determine patient needs and process accordingly, completing computer system intake at time of arrival and ensuring proper authorization.
  • Prepare new patient charts with accurate information and paperwork, issuing forms to patients for completion and providing clear instructions and assistance.
  • Pull charts of patients to be seen the following day and prepare supplemental status reports.
  • Check in patients, verify, and update necessary information in the record, assisting patients with ambulatory difficulties as needed.
  • Screen visitors and respond to routine requests for information, maintaining confidentiality and adhering to federal HIPAA regulations.
  • At time of discharge, review physician notes and instructions with patients, schedule follow-up appointments in accordance with employer instructions, and provide required paperwork.
  • Check patients out, providing required paperwork and reviewing employer information prior to departure.
  • Fulfill and forward all client correspondence needs ASAP after discharge, including visit/status notes and other relevant documents.
  • Maintain a neat and orderly work area, adhering to company policies and procedures.
  • Call clients regarding no-shows, reschedule appointments, and file charts, physician's reports, and other documents as needed.
  • Utilize formal channels of communication to report concerns, personal requests, and patient issues, respecting patients' right to privacy and confidentiality.
  • Meet deadlines for work assignments, inform supervisors of work status and progress, and communicate cordially with other staff to ensure coordinated efforts and high-quality service.
Requirements
  • Excellent telephone manners and etiquette.
  • Typing or word processing skills.
  • Excellent interpersonal skills.
  • Detail-oriented, organized, and self-motivated.
  • Ability to pleasantly interact with patients, clients, payors, and co-workers.
  • Desire to meet and exceed client and patient needs and expectations.
  • Ability to read, understand, and follow oral and written directions in English.
  • Ability to complete assigned projects and meet deadlines.
  • Sufficient knowledge of grammar, punctuation, and spelling to correctly enter patient information into the computer.
  • Ability to speak clearly and concisely.
  • Ability to sort and file materials correctly in alphabetical or numerical systems.
  • Bilingual in Spanish preferred.
  • Ability to use correct body mechanics to avoid repetitive motion and other injuries related to office work.
  • Knowledge of company programs, services, and resources available to patients and clients to fulfill the objective of the position and the department.
Education, Licenses/Certification

High school diploma or equivalent.

Experience

Prefer one year of experience in an office or medical office setting, preferably related to Workers' Compensation. Knowledge of medical terminology desirable. Computer and word processing experience.
