Position Overview

The Customer Service Administrative Assistant is a vital contributor to our organization, undertaking various administrative responsibilities that support the Customer Service team. This role involves providing comprehensive administrative assistance, including data entry, document management, correspondence preparation, and other essential tasks.

Key Responsibilities

  1. Utilize templates to address routine correspondence via emails, faxes, and other communications.
  2. Initiate outbound calls to clients regarding their inquiries.
  3. Organize and oversee all documents related to Customer Service communications.
  4. Distribute loan documents to clients and relevant personnel.
  5. Manage incoming and outgoing mail efficiently.
  6. Update client information in the system as necessary.
  7. Deliver courteous and responsive service to team members and other departments.
  8. Assist with processing returned mail and preparing outbound correspondence.
  9. Support CalHFA non-occupancy tasks, including certified mail and document tracking.
  10. Create daily summaries and maintain spreadsheets for activity tracking.
  11. Provide backup reception duties, including managing multi-line phone systems and scheduling.
  12. Perform additional tasks as assigned.

Qualifications

A high school diploma or equivalent is preferred, along with a minimum of one year of experience in administrative support within a financial services environment, ideally in mortgage processing. Candidates should be highly organized, detail-oriented, and capable of thriving in a fast-paced, deadline-driven setting.

Skills and Experience

  • Proficient in data entry and familiar with Microsoft Word, Excel, and Outlook.
  • Experience with document retention software is advantageous.
  • Ability to perform basic internet searches and manage 10-key data entry.
  • Bilingual candidates are preferred.

Work Environment

This position is primarily sedentary, with occasional walking or standing required. The role involves frequent use of a computer keyboard and mouse, as well as the ability to interpret auditory and visual information accurately.
