Job Summary:
We are seeking a highly motivated and detail-oriented Administrative Assistant 4 to join our team at Northrop Grumman. As a key member of our organization, you will be responsible for providing exceptional administrative support to our executives and teams.
Key Responsibilities:
- Serve as a focal point for the organization, communicating with internal and external stakeholders, and representing the corporation professionally.
- Manage calendars, schedule meetings, and coordinate events, ensuring seamless execution and minimal disruptions.
- Perform office functions, including arranging meetings, reserving conference rooms, and managing Outlook invites.
- Maintain business rhythm and infrastructure support, including managing weekly/monthly rhythm meetings, reviewing/purging invite lists, and housekeeping network shares and permissions.
- Catch workspace issues, ensuring conference rooms, kitchens, and hallways are in working order, and submitting tickets for repairs.
- Make domestic and international travel arrangements and prepare expense reports.
- Assist in event planning and activities of major organization initiatives, operating independently to meet requirements and offering expertise to assist other functions.
- Maintain the organization's collaboration electronic sites, department, and programmatic folders, following up on open actions to ensure deadlines are met.
- Provide operational support for special projects, researching and obtaining information, helping plan, and ensuring follow-through of assigned tasks.
- Collect, organize, and distribute mail for support teams, and purchase necessary supplies within allotted budgets.
- Gather, compile, and report on information relevant to supervisor's assignments in a timely and accurate manner.
Requirements:
- Minimum of a high school diploma or GED and 6 years of experience working in a customer support or administrative assistant role.
- Demonstrated ability to efficiently coordinate Outlook calendar, meetings, and other events/activities.
- Basic proficiency with MS Office tools, including PowerPoint, Excel, Word, and Teams.
- Concur Software experience (Travel/Expense Software Program).
- Experience working with travel agencies to coordinate itineraries for domestic and international travel.
- Ability to lift 25+ lbs. daily (restocking printer paper for team).
Preferred Qualifications:
- Experience in planning, coordinating, and overseeing catering for significant program meetings.
- Experience in reviewing and editing written material for correct spelling and grammar.
- Familiarity with Northrop Grumman's specific systems (SAP, Concur, DSEA, Facilities requests, IBUY, iTRIP, etc.).
- Knowledge of NGC resources, policies, and procedures.
- Strong ability to multi-task with competing priorities in a positive manner.
Salary Range: $63,800 - $106,300
