Position Overview:

Are you dedicated to providing exceptional support? The Executive Administrative Coordinator role at the Arizona Official Website of State of Arizona offers an opportunity to contribute significantly to our team.

In this capacity, you will engage in a variety of intricate administrative tasks to support the leadership team. Your responsibilities will include assisting in the preparation and management of regulatory assessments, compiling reports, handling correspondence, and overseeing inventory management. As part of our organization, you will be trained in Arizona Management Systems (AMS) methodologies and will emphasize a Veteran/Member-centered approach in all your duties.

Key Responsibilities:

As an Executive Administrative Coordinator, you will:

Provide comprehensive administrative and secretarial support, proactively addressing the needs of the leadership team. Communicate effectively with diverse staff and stakeholders in a courteous and professional manner. Develop and maintain organized administrative filing systems and documentation. Ensure compliance with policies and procedures for regulatory assessments. Prepare meeting agendas, participate in meetings, and accurately document minutes. Conduct research and undertake special projects to assist the leadership team. Manage procurement processes for supplies and other necessary items, adhering to state regulations. Support the recruitment process by scheduling interviews, conducting reference checks, and preparing hiring documentation. Maintain the appointment calendar for the leadership team. Organize scheduling for meeting spaces, coordinate training sessions, and facilitate meetings. Receive and direct correspondence to the appropriate personnel for action. Undertake special projects as assigned by the leadership team.

Required Knowledge, Skills & Abilities:

Knowledge of:

Policies and procedures relevant to the work unit. A wide range of complex administrative functions. Techniques for data collection and summarization. Project management principles. Report generation. Problem-solving strategies. Effective communication channels with community members. Safeguards for maintaining confidentiality of sensitive information. Requirements for administrative correspondence in a governmental context. Proficiency in various computer software applications.

Ability to:

Anticipate the needs of the leadership team. Prioritize tasks effectively for the leadership team’s attention. Build and maintain positive relationships with individuals at various organizational levels. Facilitate communication within and outside the agency. Organize and maintain filing systems. Coordinate and schedule meetings efficiently. Accurately transcribe meeting minutes. Uphold confidentiality standards.

Preferred Qualifications:

Prior experience in providing administrative support to senior management.

Additional Requirements:

This position may require travel for state business, necessitating a valid state-issued driver's license. Employees who drive for state purposes are subject to driving record checks and must maintain acceptable driving records.

All newly hired state employees must successfully complete the Electronic Employment Eligibility Verification Program (E-Verify).
