Surgical Scheduling Coordinator

Overview
This role primarily focuses on the coordination of surgical scheduling and conducting chart audits. Responsibilities include identifying billable procedures, managing supplies and implants, and ensuring accurate charge entry to support precise billing practices. The position involves direct interaction with the Cerner Scheduling systems for the verification and collection of patient demographic and procedural data. Collaboration with provider and surgeon offices is essential to gather specific information related to requested services, ensuring accurate documentation in the encounter database and scheduling software.
Key Responsibilities
Surgical Scheduling
* Maintain accurate system documentation for surgical and anesthesia services, ensuring it reflects patient selection, order details, equipment reservations, and related appointments.
* Identify and select preference cards in alignment with surgical orders.
* Navigate web-based applications to initiate and document surgery orders, pre-admission testing, and special equipment reservations.
* Perform necessary notifications to secure required implants, equipment, supplies, and personnel.
* Schedule emergency and state procedures, coordinating effectively with all involved departments.
Charge Auditing and Entry
* Validate documentation of implants against vendor invoices and surgery charges, researching discrepancies to ensure accuracy.
* Determine billable procedures and supplies from documentation and enter the correct charges.
* Conduct focused audits of surgical and anesthesia records, ensuring all documentation driving patient charges is accurate and complete.
* Manage inventory and billing of specific medical equipment throughout the organization.
* Utilize clinical documentation and medical terminology to assign accurate charge descriptions for implants, supplies, and procedures.
* Ensure effective communication and documentation to facilitate operations within the team and across departments.
* Plan and execute assigned audits related to the date of service, ensuring correct charge entry for surgical implants and supplies.
Administrative Duties
* Schedule surgical, obstetric, and endoscopy procedures, including necessary pre-admission appointments.
* Coordinate with various departments, including Surgical Services and Anesthesia, regarding surgical scheduling.
* Prepare reports for management and clinical teams as required.
* Provide confidential administrative support to management and clinical teams.
* Gather, revise, and enter data utilizing departmental statistics and units.
* Perform clerical duties such as ordering, filing, and transcribing.
* Maintain current document control files and assist with data entry and customer service.
Operational Responsibilities
* Greet customers and handle incoming administrative calls, ensuring accurate information is gathered.
* Operate computer systems to retrieve information and respond to inquiries.
* Maintain department standards and communication boards.
Compliance and Safety
* Report safety-related incidents promptly and participate in safety training programs.
* Stay updated on state and federal regulations impacting the role.
* Ensure all required certifications and licenses are current.
Qualifications
Education
High School Diploma or GED - Required
Associate's Degree - Preferred
Experience
2 years of experience in hospital, operating room, or surgical scheduling - Required
2 years of customer service experience - Required
Understanding of medical terminology - Required
Chart auditing and coding experience - Strongly Preferred
Proficiency in Microsoft Windows and MS Office products - Preferred
