Position Overview

The Residential Leasing Specialist is accountable for the leasing and marketing outcomes and for fostering positive relationships with residents in a multifamily community.

Reports to: Community Manager and/or Leasing Manager.

Supervises: None.

Key Responsibilities
General Duties:

  • Implement company policies and community regulations consistently and fairly.
  • Maintain precise monthly commission records on leases and renewals for bonus calculations.
  • Handle resident interactions with professionalism, diplomacy, and courteous communication.
  • Assist in preserving community aesthetics. Report necessary repairs for timely scheduling and completion. Conduct daily property walks.
  • Develop and execute marketing strategies to enhance qualified traffic.
  • Close effectively by utilizing Guest Cards and ensuring consistent follow-up.
  • Address resident complaints, concerns, and requests promptly.
  • Establish and implement resident retention initiatives.
Community Leasing/Marketing:
  • Responsible for setting up mini-models in targeted units and staging them appropriately.
  • Welcome prospects and qualify them according to Decron criteria. Immediately log all telephone and in-person inquiries in Yardi. Complete guest cards and follow up within 24 hours.
  • Conduct tours of the community and focus units/models. Showcase amenities and secure the sale.
  • Obtain the prospect's signature on the application, secure the deposit, and update records in Yardi.
  • Process applications for approval, prepare leases, and obtain necessary signatures. Follow up with applicants regarding their status. Submit for managerial review and approval.
  • Update all prospect and resident transactions in Yardi.
  • Ensure that the apartment is ready for move-in on the scheduled date.
  • Follow up with prospects who did not close. Send 'thank you for visiting' emails, handwritten notes, and make phone calls.
  • Monitor monthly lease expirations. Dispatch renewal letters and follow up until completion.
Community Marketing:
  • Refresh all online advertisements with new, current photos and concessions (if applicable).
  • Engage in outreach marketing activities regularly to boost traffic.
  • Inform residents about referral fees (if applicable).
  • Assist in placing, removing, and replacing promotional materials such as banners, balloons, and signs.
  • Distribute newsletters, flyers, and notices.
  • Assist in gathering marketing intelligence. Conduct monthly competitor analysis and review market surveys to generate ideas and formulate strategies.
Additional Responsibilities:
  • Leasing specialists may be requested to assist at other properties as needed.
  • Support may be required for special projects or activities, including due diligence and property acquisition/disposition.
  • Participate in training programs as necessary.
Attendance is a critical function of this role.
