Position Overview:

The Executive Assistant plays a pivotal role in providing comprehensive administrative support to the Corporate Development Vice President and two Directors. This position requires a high level of discretion and the ability to operate with minimal supervision, ensuring compliance with established guidelines and policies.

Key Responsibilities:

  • Manage a complex calendar, coordinating meetings and appointments while effectively resolving scheduling conflicts.
  • Organize and facilitate domestic and international travel arrangements, ensuring all logistics are handled efficiently.
  • Prepare and maintain detailed expense reports, ensuring accuracy and compliance with company policies.
  • Assist executives in prioritizing daily tasks and adjusting to changing priorities, including the preparation of meeting materials.
  • Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Utilize knowledge of M&A processes and organizational procedures to support executives effectively.
  • Demonstrate independent judgment in planning and organizing work within established parameters.
  • Engage with clients and guests, providing a welcoming atmosphere and addressing inquiries with professionalism.

Qualifications:

  • Minimum of 10 years of experience in an executive administrative capacity, supporting senior executives.
  • Proven experience in a large corporate environment, providing high-level administrative support.
  • Strong proficiency in Microsoft Office Suite, including Teams, Word, Excel, PowerPoint, and Outlook.
  • Exceptional organizational and time management skills, with the ability to multitask in a fast-paced environment.
  • Excellent verbal and written communication skills, with a focus on business correspondence.
  • Experience in creating impactful presentations using Microsoft PowerPoint.
  • A high school diploma or GED is required; a Bachelor's degree is preferred.

Additional Skills:

  • Experience in Mergers and Acquisitions is advantageous.
  • Ability to foster a collaborative team environment and promote effective teamwork.
  • Strong analytical and critical thinking skills, with a focus on improving operational efficiency.
