Position Overview:
The Executive Administrative Specialist plays a pivotal role in facilitating the smooth operation of senior leadership within our corporate environment. This position requires independent decision-making and sound judgment, particularly when managing sensitive and confidential information.
Key Responsibilities:
- Manage and organize executive calendars, ensuring efficient scheduling and resolution of conflicting appointments.
- Coordinate travel arrangements and prepare detailed expense reports.
- Draft, edit, and proofread communications and presentation materials.
- Plan and execute team events and meetings, providing comprehensive support.
- Oversee invoicing and procurement processes, ensuring timely and accurate management.
- Assist in project coordination and reporting, contributing to the overall success of initiatives.
Essential Qualifications:
- A minimum of 4 years of experience in calendar management, expense reporting, and meeting coordination.
- Proficiency in Microsoft Office 365 Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
- Experience in organizing events and supporting onsite meetings for senior executives.
- Demonstrated ability to collaborate effectively with various levels of personnel and external stakeholders.
- Strong capacity to maintain confidentiality and discretion in handling sensitive information.
- Adaptability to rapidly changing priorities and requirements.
- Bachelor's degree in a relevant field.
Preferred Qualifications:
- Exceptional verbal and written communication skills.
- Strong analytical, organizational, and prioritization abilities.
- A degree in Communications, Business, or Management is preferred.
