Palmer Legal Staffing is looking for a Legal Office Support Specialist to enhance our team. This role offers a flexible work arrangement, combining in-office and remote work.

Status: Direct Hire

Salary: $80-100K DOE

Key Responsibilities:

  • Deliver comprehensive secretarial and administrative assistance within a collaborative team of Legal Office Support Specialists.
  • Ensure smooth office operations and effective workflow while adhering to the Firm's policies; promote a cooperative work environment.
  • Collaborate with fellow team members, providing support and covering for colleagues as necessary; maintain accessibility to attorneys and peers.
  • Guide and mentor junior team members, sharing insights and best practices while addressing any procedural inquiries.
  • Organize client meetings, manage conference room bookings, and coordinate necessary resources, including technology and refreshments.
  • Oversee travel arrangements for attorneys, including both domestic and international itineraries, and ensure timely processing of travel reimbursements.
  • Facilitate communication and information sharing among team members.
  • Monitor incoming communications for attorneys, manage phone calls, and assist visitors as needed.
  • Draft, edit, and proofread various documents, ensuring clarity and accuracy in all outputs.
  • Utilize document management systems effectively to maintain organized records of all relevant documentation.
  • Establish and maintain a searchable electronic filing system, ensuring timely retrieval and storage of documents.
  • Track attorneys' billable hours and assist with client billing processes, ensuring compliance with client requirements.
  • Maintain a proactive approach to deadlines and prioritize tasks effectively.
  • Keep up-to-date records of attorney preferences and specific instructions.
  • Communicate daily with LAA Administration regarding availability and workload.
  • Coordinate planned absences with team members and submit requests for approval.
  • Submit timesheets promptly and ensure compliance with overtime policies.
  • Participate in the Legal Administrative Assistants Certification Program as required.
  • Exhibit regular attendance and punctuality.
  • Perform additional duties as assigned to support departmental efficiency.

Qualifications:

  • High School diploma is mandatory; college education is highly preferred.
  • Previous experience in a secretarial or administrative role is essential.
  • Strong written and verbal communication skills are required.
  • Excellent interpersonal and organizational abilities are necessary.
  • Attention to detail and the capacity to manage multiple tasks in a fast-paced environment are crucial.
  • Ability to maintain confidentiality and manage workflow effectively.
  • Critical thinking and analytical skills are essential in a high-pressure setting.
  • Ability to work collaboratively with colleagues at all levels.
  • Willingness to continuously learn and adapt to new challenges.
  • Familiarity with relevant office equipment and software systems is required.
