Job Overview
This Facility Operations Manager will oversee the management of workspace and campus services, as well as facility maintenance operations for Cirrus Asset Management.

The role is primarily focused on an administrative office environment with a significant workforce.

This position represents Cirrus Asset Management and will interact with various levels of local management, vendor service providers, and municipal officials.

Key Responsibilities:
Manage the activities of outsourced building engineers to maintain a high-quality facility. Responsibilities include, but are not limited to, supervising all aspects of building maintenance services such as:

  • Plumbing
  • HVAC systems
  • Pest control
  • Elevator systems
  • Electrical systems
  • Lighting
  • EV charging stations
  • Building Management Systems (BMS)
  • Switchgear
  • Generators
  • Uninterruptible Power Supplies (UPS)
  • Cafeteria and kitchen equipment
  • Campus landscaping and irrigation
  • Energy efficiency initiatives

Ensure that facilities are safe and well-maintained to support uninterrupted business operations. Manage daily operations and provide weekly reports to management. Oversee cost management by tracking expenses using financial tools and adhering to approved budgets. Ensure compliance with all local and state regulations.

Management and Accountability:
Work independently while establishing expertise with local management. Maintain and oversee maintenance plans to ensure a comfortable, healthy, and safe working environment. Ensure that vendors are executing their responsibilities effectively. Collaborate with the Director to develop budget plans and ensure fiscal accountability.

Implement safety processes in accordance with local laws and internal standards, and adapt to new directives as necessary to support the organization. Act as the local liaison for security and safety protocols.

Decision-Making and Complexity:
Oversee the execution of maintenance contracts, ensuring services are delivered according to agreed terms and conditions. Maintain service levels while considering the needs of staff. Consult with business leaders on any issues that arise and address them according to established plans.

Financial and Organizational Scope:
Develop site budgets and assist management in preparing the annual budget while adhering to all expenditure guidelines. Process expense reports and utilize purchase requisitions and purchasing cards in accordance with established procedures.

Reporting Relationships:
This position will report to the Director of Corporate Real Estate & Facilities. Additional responsibilities include coordinating vendor relations and contractual agreements for facilities, as well as collaborating with maintenance and security management to ensure a safe work environment.

Key Competencies:
• Proficient in facilities processes and procedures
• Ability to manage vendors and interpret contracts
• Skilled in drafting Statements of Work (SOW) and Method of Procedure (MOP) documents
• Capable of gathering information to support decision-making
• Basic understanding of risk assessment and mitigation strategies
• Strong customer service and interpersonal skills
• Ability to manage multiple tasks and prioritize effectively

This is a hybrid position, allowing employees to alternate between remote and office work. Employees in hybrid roles are expected to work from the office a set number of days each week, as determined by leadership.

Qualifications:
• A minimum of 5 years of relevant experience with a Bachelor's Degree, or 2 years of experience with an advanced degree, or no experience with a PhD.
• Experience in managing contracted services.
• Proven ability to lead teams and drive projects to completion.
• Strong mechanical aptitude and experience in maintaining mechanical systems.
• Proficient in reading technical drawings and documentation.
• Strong experience in maintaining HVAC systems, plumbing, lighting, and other facility systems.
• Excellent planning, organization, and business judgment skills.
• Strong computer skills, including Microsoft Office and facility management systems.

Additional Information:
• Work hours may vary based on departmental needs.
• This position may require occasional travel.
