As a key member of our facilities team, you will be responsible for overseeing the daily operations of our office facilities, ensuring that all tasks are completed efficiently and effectively.

Key Responsibilities
  • Facilities Management: Oversee the daily operations of office facilities, including coordination with vendors for maintenance and cleaning services.
  • Issue Resolution: Conduct weekly rounds and routines to identify and address any issues in a timely manner.
  • Task Coordination: Coordinate and prioritize office tasks and assignments to ensure timely completion.
  • Communication: Facilitate effective communication within the office, coordinating meetings and ensuring all staff members are informed of important updates.
  • Document Preparation: Assist with preparing and proofreading reports and documents, including headcount, transportation, and onboarding reports.
  • Vendor Management: Establish and maintain relationships with vendors, including office equipment suppliers, maintenance contractors, and cleaning services.
  • Access Control: Assist with access control and intrusion office systems.
  • Furniture Maintenance: Assist with scheduling and follow-ups on individual furniture repair/modifications requests.
  • Landlord Liaison: Provide support as the primary interface with the landlord for maintenance, repair, and security issues.
  • Event Logistics: Assist with administrative and setup logistics for office events.
  • Team Collaboration: Collaborate and delegate office tasks with other staff to promote equitable work distribution and foster a collaborative team environment.
  • Record-Keeping: Develop and maintain efficient record-keeping systems for both physical and electronic files.
  • Budgeting: Assist with budget preparation, cost savings opportunities, and tracking office expenses.
  • On-Call Rotation: Participate in on-call rotations for all office locations.
  • Employee Onboarding: Assist with coordinating employee onboarding and offboarding processes.
  • Vehicle Maintenance: Coordinate service and maintenance for Dallas floater vehicles.
  • Team Coverage: Provide coverage for office services staff as needed.
  • Special Projects: Participate in and coordinate special projects as requested.
Requirements
  • Experience: 5+ years of experience in facilities/office services.
  • Education: Bachelor's degree or combination of high school diploma and equivalent experience.
  • Skills: Exceptional client service skills, adaptability, and ability to manage a team of 3 employees.
  • Physical Demands: Occasional lifting required.
  • Technical Skills: Proficiency in MS Office Suite and other business applications.
