Position Overview

We are seeking a dedicated Senior Administrative Coordinator at UL Research Institutes. This role is pivotal in providing comprehensive administrative support to the Executive Director of the Digital Safety Research Institute (DSRI). The Senior Administrative Coordinator will operate with a high degree of autonomy, executing a range of complex and confidential administrative tasks that necessitate extensive experience and a thorough understanding of organizational protocols.

Key Responsibilities:

As a Senior Administrative Coordinator, you will contribute significantly to the growth of UL by:
  • Ensuring exemplary representation of the DSRI mission and maintaining professionalism at all times.
  • Delivering a broad spectrum of intricate administrative and staff support services.
  • Assisting with sensitive projects, which may involve the creation of detailed documentation such as charts and graphs.
  • Overseeing daily operations for remote staff.
  • Managing and preparing various office records, statistics, and reports related to operations and personnel.
  • Coordinating schedules, travel arrangements, and meetings efficiently.
  • Acting as an administrative liaison for issues related to the assigned organizational unit.
  • Supporting the budgetary processes for the organizational unit.
  • Leading the efforts of junior administrative staff on specific projects as required.
  • Collaborating with fellow assistants across the organization to ensure timely responses and project completions.
  • Performing additional duties as assigned.

Education and Experience:

Applicants should meet the following criteria:
  • Completion of Higher Secondary Education with a minimum of five years of relevant administrative experience.
  • Proven ability to make sound decisions while maintaining confidentiality.
  • Experience in document management and control.
  • Project management experience is preferred.
  • Strong skills in preparing publications, reports, and technical presentations, including document editing and typing.
