As a Business Coordinator, your role will encompass the coordination of various functions related to budget formulation and oversight, financial management, records administration, procurement processes, and general administrative duties. You will prioritize activities based on the needs of the organization and monitor projects, maintain training and certification records, and generate comprehensive reports.

Key Responsibilities:

  • Organize and uphold records for the designated program area in accordance with established retention policies.
  • Ensure that payments for goods and services are processed in alignment with organizational policies. Maintain accurate accounting records and files, analyze financial transactions, verify payment documentation, and conduct data reconciliations.
  • Process, verify, and track contracts, ensuring that change orders are handled correctly. Act as the primary contact for vendors to resolve routine contract administration issues.
  • Prepare requisitions and purchase orders for goods and services, ensuring compliance with established policies. Address billing discrepancies and review procurement records to confirm that financial activities meet state and organizational requirements.
  • Assist in the development of the assigned budget by providing projected costs, monitoring expenditures, and preparing financial reports.
  • Propose solutions to administrative and business challenges, leading and managing new processes to enhance workflow efficiency.

Minimum Qualifications:

  • Experience with financial management and budgeting software.
  • Proficiency in Microsoft Word, Excel, and Access.
  • Understanding of GAAP and accounting policies and procedures.
  • Knowledge of budget development and monitoring processes.
  • Effective communication skills, both verbal and written, with internal and external stakeholders.
  • Ability to interpret laws, regulations, policies, and procedures.
  • Capacity to establish and maintain effective working relationships at all levels of management and with vendors.

Additional Considerations:

  • Administrative experience in coordinating various business functions for a specific program area.
  • Familiarity with state budgeting practices and procedures.
  • Experience using the Cardinal system is preferred.
  • A combination of education, training, or experience in Accounting, Business Administration, or a related field is desirable.
