Position Overview

This role is essential in supporting the Richmond District Equipment Shop by leveraging your expertise in planning and financial oversight.

Key Responsibilities:

  • Coordinate and maintain comprehensive records for the designated program area in accordance with established retention policies.
  • Ensure timely processing of payments for goods and services, adhering to all relevant policies and procedures. Maintain accurate accounting records and conduct thorough analyses of financial transactions.
  • Oversee the processing and tracking of contracts, ensuring that all modifications are handled appropriately. Act as the primary contact for vendors to address routine contract-related inquiries.
  • Prepare requisitions and purchase orders, ensuring compliance with established guidelines. Resolve any discrepancies in billing and review procurement documentation to ensure alignment with state and organizational requirements.
  • Assist in the development and monitoring of the assigned budget, providing insights on projected costs and tracking expenditures. Prepare detailed financial reports as needed.
  • Propose solutions to administrative and operational challenges, leading initiatives to enhance workflow efficiency.

Minimum Qualifications:

  • Proficiency in financial management and budgeting software.
  • Experience with Microsoft Word, Excel, and Access.
  • Understanding of Generally Accepted Accounting Principles (GAAP) and relevant accounting practices.
  • Familiarity with budget formulation and oversight.
  • Strong verbal and written communication skills for effective interaction with stakeholders.
  • Ability to interpret and apply laws, regulations, and policies.
  • Capability to establish and maintain productive working relationships across various levels of management and with external vendors.

Additional Considerations:

  • Experience in administrative roles that involve coordinating diverse business functions.
  • Knowledge of state budgeting processes.
  • Familiarity with the Cardinal system is a plus.
  • A background in Accounting, Business Administration, or a related field is preferred.
