About the Role:

This position is responsible for facilitating the logistical planning and execution of meetings and conferences, guided by the meetings and conferences lead within Marketing Operations. The aim is to ensure that event objectives are met while maintaining a high standard of customer satisfaction. Key responsibilities include coordinating event logistics such as registrations, rooming lists, catering, equipment, and other logistical necessities. The role also involves managing event contracts and purchase requests, collaborating with internal stakeholders to ascertain logistical requirements, and adhering to and monitoring event budgets. Onsite support will be provided to guarantee smooth operations during meetings and conferences.

Your Contributions (include, but are not limited to):

  • Manage meeting and conference contracts and purchase requests, ensuring tracking against approved budgets.
  • Oversee logistics for meetings and conferences, including registration, attendee communications, travel arrangements, rooming lists, catering needs, meeting space, A/V requirements, and group activities.
  • Handle field sales sponsorship, exhibit, booth display, and advocacy request processes for regional exhibits and patient advocacy events, requiring data entry and follow-up.
  • Coordinate with external vendors, including hotels, venues, and destination management companies, to ensure deliverables and timelines are met.
  • Ensure successful onsite execution of meetings by collaborating with internal stakeholders and vendors.
  • Serve as the primary contact for meeting attendees, addressing inquiries, providing solutions, and managing change requests.
  • Regularly collaborate with cross-functional stakeholders, focusing on relationship building, customer service, and problem-solving.
  • Manage multiple projects simultaneously, ensuring deadlines are met and issues are addressed promptly.
  • Develop status reports, pre- and post-event surveys, and metrics tracking to identify trends and recommend improvements.
  • Perform other duties as assigned.

Requirements:

  • BS/BA degree in marketing, communications, or life sciences with 4+ years of relevant experience OR
  • MA/MS degree in marketing, communications, or life sciences with 2+ years of relevant experience.
  • Strong problem-solving and conflict resolution skills.
  • Excellent listening, verbal, and written communication abilities.
  • Aptitude for fostering positive working relationships.
  • Attention to detail and exceptional organizational skills.
  • Proven ability to manage multiple projects and vendors effectively.
  • Demonstrated success in project management.
  • Flexibility to thrive in a dynamic and complex environment.
  • Proficiency in Adobe Acrobat and Microsoft Office, including Word, Excel, and PowerPoint.
  • Experience with meeting planning tools such as Cvent is preferred.
