Role Overview:
The Senior Meetings Coordinator plays a crucial role in the strategic planning and execution of meetings and conferences. This position is responsible for ensuring that event objectives are met while delivering exceptional service to participants. The coordinator will manage all logistical aspects of events, including registrations, accommodations, catering, equipment, and other necessary arrangements. Additionally, this role involves overseeing event contracts and purchase orders, collaborating with internal teams to assess logistical requirements, and maintaining budgetary compliance.
Key Responsibilities:
- Manage contracts and purchase orders for meetings and conferences, ensuring alignment with approved budgets.
- Oversee logistical arrangements for events, including registration processes, attendee communications, travel coordination, accommodation lists, catering needs, meeting space, audio/visual requirements, and group activities.
- Facilitate sponsorship and exhibit processes for regional events and patient advocacy initiatives, requiring diligent data management and follow-up.
- Coordinate with external vendors, such as hotels and destination management companies, to ensure timely delivery of services and adherence to expectations.
- Provide on-site support during events, collaborating with internal stakeholders and vendors to ensure seamless operations.
- Serve as the primary contact for attendees, addressing inquiries, resolving issues, and managing changes as needed.
- Foster relationships with cross-functional teams, emphasizing customer service and effective problem-solving.
- Handle multiple projects simultaneously, ensuring timely completion and proactive issue management.
- Develop reports, surveys, and metrics to evaluate event success and identify opportunities for improvement.
- Perform additional duties as required.
Qualifications:
- Bachelor’s degree in marketing, communications, or life sciences with a minimum of 4 years of relevant experience, or a Master’s degree with at least 2 years of experience.
- Strong analytical and conflict resolution skills.
- Excellent verbal and written communication abilities.
- Proven aptitude for building positive professional relationships.
- Exceptional attention to detail and organizational capabilities.
- Demonstrated ability to manage multiple projects and external vendors effectively.
- A history of successful project management.
- Adaptability to thrive in a dynamic and complex environment.
- Proficiency in Microsoft Office Suite and Adobe Acrobat; experience with meeting planning software such as Cvent is preferred.
