Job Overview

Position Summary:

The Project Management Support Specialist plays a crucial role in aiding the construction and renovation teams with various responsibilities related to project proposals and management. This position reports directly to the Senior Project Manager.

Key Responsibilities:

  • Set up new projects in the document management system.
  • Engage in project initiation meetings.
  • Draft contracts for subcontractors.
  • Handle proposed change orders efficiently.
  • Compile and deliver operation and maintenance manuals upon project completion.
  • Oversee online plan rooms and bid requests to acquire project documentation and respond to bid inquiries.
    • Download, print, and manage project plans and specifications.
    • Verify addenda, clarifications, and project updates.
  • Assist Project Managers and Account Managers with project execution tasks.
  • Prepare submissions for approval, order materials and equipment, track orders, attend project meetings, and coordinate with various divisions and subcontractors.
  • Perform additional duties as assigned by management.
  • Obtain necessary permits for new projects.
  • Build and maintain relationships with vendors and subcontractors.

Required Skills and Qualifications:

  • Proficient in Microsoft Office Suite – Word, Excel, Outlook, PowerPoint, and Project.
  • Excellent communication skills – capable of fostering strong working relationships with contractors, suppliers, project management personnel, and field staff.
  • Self-motivated and project-oriented – able to work independently on multiple assignments.
  • Strong organizational and time management skills are essential – ability to prioritize tasks across multiple projects.
  • Meticulous attention to detail and accuracy with numerical data.
  • Basic knowledge of accounting principles.
  • Experience in the construction industry is highly advantageous.
  • Ability to comprehend and analyze project plans and specifications is a significant plus.
