Position Summary:

Pre-Award Management:

The individual will be responsible for managing the creation and submission of sponsored program applications, including the preparation and refinement of budgets and budget narratives, ensuring compliance with all application requirements under strict timelines.

The role involves assisting faculty in identifying potential funding opportunities for their research endeavors and providing guidance on proposal development as necessary. The candidate will review submission guidelines from funding agencies to ensure adherence to compliance standards. Collaboration with various electronic proposal systems and core offices is essential. Close cooperation with Principal Investigators (PIs) to develop budgets that accurately reflect personnel salaries, project costs, and facility expenses is required.

It is crucial to ensure that all proposals receive departmental approval, facilitating communication with the College of Medicine, other Colleges, and the Division of Sponsored Research.


Manage award releases in the electronic system, including sub-awards and subprojects, center declarations, and effort commitments. Initiate payroll distributions in alignment with the budget and PI confirmations. Process post-award modifications for sponsor approval, including changes in project scope, distributions, increments, and monitoring of sub-awards and center designations. Assist in the transfer of grants from other institutions for new faculty members. Complete annual space reports and effort reporting as necessary. Regularly update monthly PI reports and present them to faculty for project management and hiring needs.

Expected Salary:
Commensurate with education and experience

Minimum Qualifications:
Research Administrator I - Bachelor’s degree or equivalent

Research Administrator II - Bachelor’s degree with two years of experience in grant and contract administration; or an equivalent combination of education and experience.


Preferred Qualifications:

Experience in grant writing, prior research experience, familiarity with grant processes, negotiation of research contracts, and collaboration with the Internal Review Board (IRB) is preferred. The candidate must possess the ability to interpret and apply grant and contract guidelines and regulations effectively. Strong verbal and written communication skills are essential.

Knowledge of relevant rules, regulations, policies, and procedures related to extramural grants and research contracts is advantageous.
