Role Summary:
The Grants and Research Coordinator is responsible for a variety of tasks related to the administration of research funding, encompassing both pre-award and post-award processes.

Pre-Award Responsibilities:

Provide comprehensive support in the preparation, management, and submission of proposals to various funding entities. This includes ensuring compliance with the specific requirements outlined in Requests for Proposals (RFPs).



Post-Award Responsibilities:
Collaborate with senior research administrators to oversee all aspects of awarded grants. This includes ensuring accurate documentation and routing through the appropriate systems, in line with institutional policies. Work closely with various university offices to facilitate timely processing of necessary actions. Review and analyze award documents for any changes in funding and assist Principal Investigators (PIs) in adjusting budgets accordingly. Monitor the need for fund releases and extensions, advising PIs on procedural requirements.

Maintain detailed monthly reconciliations for all active grants and projects, ensuring expenditures align with state, federal, and institutional guidelines. Review personnel budgets on sponsored programs to confirm appropriate fund usage. Assist in the effort reporting process for faculty and research staff within the designated research area.

Identify and address any budget items that do not comply with cost accounting standards, guiding PIs through necessary exemption requests.

Ensure that all institutional commitments are documented and tracked effectively.

Monitor expenditure rates to ensure efficient use of grant funds and communicate with PIs regarding reconciliation reports and any discrepancies. Prepare financial projections and reports as requested by PIs or departmental leadership.

Coordinate with PIs and relevant offices to ensure timely submission of all required reports and invoices to funding agencies.



Participate in training and networking opportunities related to fiscal management and research administration. Stay informed on policy guidelines from various funding agencies and communicate relevant updates to colleagues.

Fiscal Responsibilities:

Manage the procurement of supplies and services for research faculty and their teams, utilizing various funding sources.

Prepare and verify requisitions for administrative staff and students, ensuring compliance with funding regulations.

Process invoices for payment, ensuring accuracy and compliance with purchase orders.

Assist faculty with large purchases requiring competitive bidding, ensuring timely vendor payments.

Review and approve travel requests and expense reports, ensuring adherence to institutional policies.

Prepare deposits for received payments and provide guidance to administrative staff on procurement and travel policies.

Salary Range:
$55,000 - $60,000

Qualifications:

A Bachelor's degree with two years of experience in grant administration, or an equivalent combination of education and experience.


Preferred Skills:

Strong communication skills, both verbal and written, with the ability to organize and manage multiple tasks. Proficiency in understanding and applying relevant regulations and policies. Experience with grant management systems and familiarity with federal funding agencies is advantageous.
