About the Role:

The Executive Assistant for Legal & Compliance (L&C) delivers administrative and operational support to key leaders at Gusto. This role will primarily assist 2-3 executives within the L&C Team and contribute to the overall success of the organization through collaboration with essential partners and fellow Executive Operations colleagues. The ideal candidate will bring organization and coordination, manage calendars and meetings, and uplift team spirit through community engagement and events.

The Executive Operations Partner for Legal and Compliance should be resourceful, intellectually inquisitive, organized, and a natural networker. About the Team:

The Executive Operations Team at Gusto serves as a crucial function that ensures the smooth operation of each department. They collaborate with cross-functional teams by building relationships, effectively communicating information, and identifying solutions to inefficiencies. The Executive Operations Partner for Legal & Compliance will be functionally aligned with the Legal & Compliance Team, possessing the unique opportunity to influence and impact all employees and customers while aiding in the organization’s growth.

Key Responsibilities:
  • Operational Excellence: Develops and maintains operational systems and processes to improve team effectiveness.
  • Calendar Management: Strategically organizes, coordinates, and schedules meetings and events to minimize conflicts and enhance leadership productivity.
  • Meeting Coordination: Collaborates with leaders to establish team rhythms and supports daily meetings through note-taking, presentations, tracking action items, and ensuring progress.
  • Travel Coordination: Arranges and books travel logistics, including flights, accommodations, and transportation.
  • Effective Communicator: Clearly conveys information both verbally and in writing to supported leaders, peers, and cross-functional partners.
  • Event Planning and Community Engagement: Embodies Gusto Values while organizing team off-sites, team-building activities, and fostering connections across the organization.
  • Special Projects and Team Support: Identifies and undertakes specific initiatives to enhance the efficiency and effectiveness of the supported functional team.
  • Relationship Development: Builds rapport with employees across the organization and external vendors, creating meaningful interactions.
  • Confidentiality and Trust: Maintains a high level of confidentiality and discretion regarding sensitive information.
Qualifications:

Experience:
  • 5+ years of direct administrative experience supporting C-Level executives or General Managers, ideally in a large organization.
  • A dedicated Executive Assistant who is passionate about the profession and aims to continue in this role long-term.
  • Proven ability to manage large cross-functional projects and scheduling comprehensively.
  • Experience organizing team events for approximately 30 participants, including executive offsites.
  • Demonstrated capability in coordinating complex travel arrangements.
  • Experience within a Legal & Compliance team is advantageous.
