Position Overview

Reporting directly to the Vice President of Partnerships and Live Events, the Event Operations Manager plays a crucial role in the effective implementation and seamless execution of initiatives associated with ongoing partnerships and live events.

This essential position relies on exceptional project management skills, where success is measured by the accuracy of operational processes and practices.

The manager is responsible for ensuring that ministry initiatives advance on schedule, within defined parameters, and under financial constraints.

Utilizing comprehensive project management methodologies, the Event Operations Manager handles daily tasks while diligently monitoring Key Performance Indicators (KPIs) to drive and assess success.

Desired Experience:
  • 2-4 years of experience in a Project Management role overseeing mid-sized projects with multiple business stakeholders, timelines, and dependencies.
  • Proven track record in planning, organizing, leading, directing, and managing projects effectively.
  • Solid understanding of Project Management Life Cycle methodologies (e.g., PMI PMBOK).
  • Proficiency in MS Project and MS Office suite (Word, Excel, PowerPoint, Access, Visio, Outlook).
  • Experience collaborating with various levels of stakeholders to build trust, influence, and maintain strong relationships for project management efforts.
  • Exhibit a collaborative and adaptable approach, with a strong service-oriented mindset. Must be a team player and leader.
  • Exceptional interpersonal skills with the ability to cultivate genuine business/ministry relationships. High emotional intelligence is essential.
  • Strong written and verbal communication abilities to effectively engage with diverse stakeholders.
  • Proficient technical documentation skills, particularly in Microsoft Word, Excel, Visio, and cloud-based collaboration tools.
  • Excellent organizational skills with the capacity to work independently and collaboratively within a team.
Educational Background:
  • Bachelor's degree or a combination of education and relevant experience.
Key Responsibilities:
  • As a member of the Partnership & Live Events team, embody the team's vision in daily operations and ministry initiatives.
  • Collaborate with team members to support their objectives through project scoping, milestone tracking, removing obstacles, and making necessary decisions.
  • Assist Marketing efforts by brainstorming effective event branding and recommending suitable media schedules to fulfill event requirements.
  • Help craft compelling copy for media schedules to uphold our Brand while promoting events.
  • Maintain fiscal accountability, including presenting budgets to the Vice President of Partnerships and Live Events prior to events. Ensure budget adherence through to final settlements.
  • Demonstrate initiative through proactive follow-up and nurturing ongoing relationships; facilitate decision-making by providing timely responses to inquiries and requests for information.
  • Drive change by fostering stakeholder collaboration and addressing communication barriers as they arise.
  • Develop policies and processes to ensure timely task completion by internal teams and partners.
  • Manage stakeholder expectations across critical project constraints including budget, timeline, quality, resources, and scope.
  • Create comprehensive project deliverables including project plans, strategies, charters, goals, objectives, schedules, and resource requirements (i.e., budget, personnel, and tools).
  • Collaborate with senior team members to formulate project risk and issue management plans, including appropriate mitigation and contingency strategies.
  • Provide regular project updates to teams and key stakeholders, including reporting on project challenges and risks.
  • Innovate solutions to eliminate roadblocks and support the project team in achieving desired outcomes.
  • Consult and collaborate with senior team members and project stakeholders to develop, review, and approve project proposals.
  • Simultaneously manage multiple mid-sized projects.
  • Hold project team members accountable for timely, on-scope, and on-budget project completion, meeting customer expectations.
  • Take full ownership of personal tasks and responsibilities, as well as those of others when applicable.
  • Perform additional duties as assigned.
